Restricted Key Order Procedure & Information
At Keys O'Callaghan Locksmiths, we take the security of your High-Security Restricted Master Key System seriously. These systems are designed to prevent unauthorised key duplication, ensuring that only those with explicit authorisation can request additional keys.

To maintain security and system integrity, all restricted key orders must follow strict procedures. This ensures that only registered signatories can request key duplication, keeping your premises secure and preventing unauthorised access.

Please note that we can only process key duplication requests if we already hold a verified record of the owner's signature and authorisation details.

Ordering Restricted Keys
To request additional restricted keys, a Restricted Key Order Form must be completed and submitted via email or fax as specified on the form.
🔹 The order form must be signed by an Authorised Signatory—a person registered with us when the system was installed. We will verify this signature against our records before processing any request.

🔹 The system owner is responsible for nominating authorised signatories and providing their contact details and sample signatures.
🔹 For tenants: If you need additional keys, please contact your real estate agent or body corporate rather than submitting a request directly.
Important Information for Ordering Keys
To avoid processing delays, please ensure you provide:
✔ System Number – This is stamped on your key and typically consists of a letter or two followed by numbers (e.g., XB123).

✔ Key number – Located beneath the system number, this identifies specific key levels (e.g., MK, SK1, F1).
​
✔ Key Number – Restricted keys have an issue number stamped on the bottom of the head. This allows you to track who holds which key.
​
If you have multiple authorised signatories, it is your responsibility to inform us if one is no longer authorised to order keys.

Processing Time & Urgent Orders
🔹 Standard processing time: 2 to 3 business days.
🔹 The process includes:

Verifying the authorised signatory’s signature.

Retrieving and updating computer records.

Stamping the key blank with security details.

Cutting the key.

Organising delivery via courier where required.

Urgent Orders: If you require a same-day pickup, we may be able to accommodate this for an additional fee. Please contact us for availability.

Payment & Delivery
​
🔹 Full payment is required before processing unless you have an approved account.
🔹 Standard delivery fee: $22.00 + GST, automatically added to the total cost.
🔹 Delivery is via our chosen courier unless specific instructions are provided in writing at the time of ordering.
🔹 For enhanced security, we offer a hand-delivery service upon request—please inquire about pricing.
🔹 Courier Liability: If a courier loses your keys, we will replace them, but Keys O'Callaghan Locksmiths is not liable for any further losses resulting from the delay.
🔹 Pickup Option: If you prefer, you can collect your order from our office.

Important: Any shortages must be reported in writing within 48 hours of receiving the shipment. Once dispatched, any loss or damage becomes the purchaser’s responsibility.

Adding or Removing Authorised Signatories
​
To maintain the security of your restricted key system, you may need to add or remove signatories or transfer system ownership. The system owner must submit a written request for any such changes, and all updates require authorisation from an existing registered signatory.

Adding a Signatory
To add a new signatory, provide the following details:
✔ Full Name
✔ Position (e.g., Manager, Facilities Coordinator)
✔ Contact Number
✔ Sample Signature
Removing a Signatory
If an authorised signatory is no longer permitted to request keys (e.g., they leave your company), it is your responsibility to notify us immediately.

You can request a new Signature Authority Form from our office to update your records.

Failure to remove outdated signatories could result in unauthorised key duplication.

Changing Ownership of a Restricted Key System
​
If ownership of a restricted key system needs to be transferred, the request must include:
✔ System Number
✔ Business Name
✔ Applicant’s Name & Position (e.g., Owner, Tenant)
✔ Contact Information
✔ Reason for the Transfer
✔ A signed and dated letter from an existing authorised
signatory confirming the change.

Additionally, a signed statement must be provided by the existing signatory, confirming:
“I, [Name], guarantee that I am an existing registered key authority of the said key system and that I am legally authorised to approve this transfer. I indemnify Keys O'Callaghan Locksmiths against any legal responsibility for unauthorised activity in this matter."
